Requirement Setup Guide for Compliance Admins

How often will people who are required to complete the required training need to complete the associated course(s)? If the compliance requirement includes periodic (ex. annual) completion of training… Yearly completion of required training is often needed to maintain compliance. There are two main methods recommended for groups who need to manage yearly requirements

If training only needs to be completed once.

If training is required to be repeated on a periodic basis, a decision needs to be made regarding the maintenance of the compliance tracking.

If the compliance requirement includes periodic (ex. annual) completion of training… Yearly completion of required training is often needed to maintain compliance. There are two main methods recommended for groups who need to manage yearly requirements:

  1. Use the same course each year: suggested if content remains the same
    • Create a new instance every year
    • The requirement remains the same, but has a yearly refresher
  2. Use a new course every year: suggested if content is updated regularly
    • Create a new course every year that reflects what the content changes were — the courses of a requirement cannot be changed so a new requirement will be needed each time a course is created
    • A new requirement will be created every year by archiving and copying the old requirement
    • The requirement would have no refresher

Please keep both methods in mind as you decide on a name, due date, and refresher details. Below are guidelines for choosing settings depending on the appropriate method for your requirement.

Method 1: New Instance Yearly

  • The requirement name can be generic
  • The due date should be an interval (not a specific date)
  • The refresher will either be a specified interval (1 year) or a specific date on a yearly basis (July 15 every # year)

Method 2: New Course & Requirement Yearly

  • The requirement name should reflect the year (Ex. PCI Training 2017-2018)
  • The due date can be anything including: a specific date, an interval from date of being assigned such as 45 days after being assigned, or an interval from the hire date of their active job information (from Peoplesoft HR)
  • There will not be a refresher setting
