About: Participant Admins and Liaisons

NC State employees that are Supervisor and/or act as an HR representative for a department or division are given filtered access to employee’s training information in REPORTER. The access includes the ability to assign required training, recommend courses, and view associated completion records for items that have been assigned or recommended.

The REPORTER system receives data from the NC State HR Peoplesoft system on a nightly basis, and uses active job records and the listed supervisor(s) to determine access in REPORTER. This information determines which employees are shown to the Supervisor under their My Team tab dashboard. If the list included unexpected employees, or if a user does not have the expect supervisor access, they need to follow up with their HR representative to determine if there is an error in the job record, and to correct it if there is. Once the record is corrected, REPORTER should update within 24 hours.

System Access Request will need to be submitted on behalf of the HR Representative who needs additional access.

H/R representatives can be given the ParticipantLiaison role for a division (2 digit OUC) OR a department (4 digit OUC), but a System Access Request is required. Users that need this role are expected to contact reporter_support@ncsu.edu to request assistance, and if appropriate, they will be directed to have a SAR sent on their behalf for the role.

Possible next steps needed to gain access:

  • If users should be listed as reporting to someone other than who they are showing under, the relevant Supervisor(s) need to work with the HR group to update the data.
  • If the user that needs access to records is an HR representative for the department or college/division, they likely need the Participant Liaison role. Have the SAR Admin in that person’s group submit a request on their behalf.
