Registration and Compliance Help Videos

Below are numerous resources for users looking to assign training, view compliance records, and see course completion information. Users can click on the gray panels to expand help details and an external video tutorial link. If you are a new user, please review the definitions prior to watching the videos. Assign When you assign a user in REPORTER, you are requiring them to take a specific course or courses. They are marked in the system as being required to complete by a certain due date, and the user is notified and reminded via email. You can later view reports about their compliance.
Required Training Required Training, for these purposes, is training that exists in the REPORTER system and has been setup in such a way that it can be assigned to users.
Requirement A requirement has been identified by a university policy, rule, regulation, etc as something that a group of people need to complete to be in compliance for their job/role within the university. In REPORTER, requirements contain one or more courses, that assigned users are required to complete.
Course A course is the general class or activity being offered. It only contains the main content of what is being taught and has no details regarding where, when, cost, instructors and similar specifics.
Instance These are specific sessions of a course that users register for, including the specific time and location of that offering of the course. It the session is online, the instance will typically represent a year, for example ‘2017-2018 Clery Act Training’.
OUC This stands for ‘Organizational Unit Code’ and each NC State division, department, and unit is identified by certain codes. Your 4-digit OUC will represent your department and can be used as a search term for certain reports to filter to just your department’s users.
Supervisor In REPORTER, Supervisors and their direct reports are determined based on data from the H/R Peoplesoft system. If you have incorrect supervisor or reports to data, it will need to be updated in Peoplesoft to be updated in REPORTER. 
Course Admin In order to edit a course or view the registration/roster data, you must be a Course Admin of the course. Course Admins can be granted access to existing courses by other course admins of the course.
Compliance Admin In order to assign a requirement to users in REPORTER, you must be added as a Compliance Admin to the requirement. As a reminder, each ‘Requirement’ contains one or more courses, the ‘Requirement’ can be ‘Assign’ed in REPORTER so that a user is essentially required to take the courses specified by the requirement.
Participant Liaison This is a role that can be request via a System Access Request or SAR. This role allows the user to see all required training records for employees within a specific 2 digit OUC (you will need to specify which OUC you need access to in the SAR request).

How do I register someone for a course?

You may receive a direct link to register for a course via an email or by clicking within a website; if you have a direct link for registration, you can follow the steps below to register yourself and/or other users for the course.

  1. If you have been given a direct link to register, begin by selecting the link. You will be brought to the course catalog listing
  2. Select the ‘Add to Cart’ option
  3. You will be brought to your cart. If you are not logged in, select ‘Login to Change Participants’ (skip to step 5 if you are already logged in)
  4. Select the ‘Unity ID Login’ option and log in through Shibboleth
  5. You will be brought to your cart where you should see the course. There is a dropdown option to indicate how many people you are registering. If you are registering more than one person, change this dropdown to the correct number. If you are registered more than 20 people, you will have to register them after the first 20.
  6. Once you have indicated the number of participants, you will select ‘Choose Participant’ for each participants block.
  7. Clicking this will open a search window. Here you will search for one of the users you want to register. The top block is a search box and the bottom are your results.
  8. Once you have found the user, click to highlight them in red, then select the ‘Choose selected’ button. You should see the user’s name in cart.
  9. Repeat steps 6-8 for each participant you wish to register. Once all participants are in the cart, select ‘Proceed to Order Summary’ at the bottom of the page.
  10. You will brought to a cart summary. Verify all the correct users have been selected, then click ‘Checkout’ at the bottom of the page.

Once the registration completes, you will be brought to the Order Summary page where you will see confirmation of the user’s enrollment and the users will be notified via email of the registration.

If a course is published in REPORTER as public, you will be able to register for it through the Course Catalog in REPORTER. The steps below detail how to locate and register yourself or others for a course through the catalog.

  1. Begin by logging in at go.ncsu.edu/reporter
  2. Once logged in, locate the ‘Course Catalog’ link on the left side of the screen and select it
  3. You will be brought to the REPORTER course catalog, where you can search for and select a course. Enter your search terms in the top section using any of the fields, then select ‘Search’
  4. If courses meet your search terms, you will see them listed below the search fields. Find the course you wish to register a user for and select the ‘Add to Cart’ option
  5. You will be brought to your cart where you should see the course. There is a dropdown option to indicate how many people you are registering. If you are registering more than one person, change this dropdown to the correct number. If you are registered more than 20 people, you will have to register them after the first 20.
  6. Once you have indicated the number of participants, you will select ‘Choose Participant’ for each participants block.
  7. Clicking this will open a search window. Here you will search for one of the users you want to register. The top block is a search box and the bottom are your results.
  8. Once you have found the user, click to highlight them in red, then select the ‘Choose selected’ button. You should see the user’s name in cart.
  9. Repeat steps 6-8 for each participant you wish to register. Once all participants are in the cart, select ‘Proceed to Checkout’ at the bottom of the page.
  10. You will brought to a cart summary. Verify all the correct users have been selected, then click ‘Checkout’ at the bottom of the page.

Once the registration completes, you will be brought to the Order Summary page where you will see confirmation of the user’s enrollment and the users will be notified via email of the registration.

How do I require someone to take a training or set of trainings?

As a Supervisor, you are able to assign training to anyone listed as a report in the H/R Peoplesoft system. If you are set up as a Participant Liaison, you will be able to perform the same actions for anyone under the division you are a liaison for. Below are step-by-step instructions for assigning training to an employee as one of theses roles.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. Select the ‘My Team’ tab (this may take a moment to load)
  3. You will see lists containing the users who are listed as reporting to you or under your division. To assign training, select the ‘Assign Requirement’ button near the top of the page
  4. A search window will open where you will search for and select the course you wish to assign. Search on the course title or other information
  5. Once you have the search result for the correct course, select the blue ‘Assign’ link. If there is no assign link, the course has not been set up for Required Training and you can only recommend it.
  6. When you select the ‘Assign’ link, a search window will open. On the left you will see all of employees that report to you. Locate the users you wish to assign and double click to add them. You can also highlight users in red and then select the ‘Add’ button
  7. Your selected users will show on the right side of the screen. Once you have selected all desired users, click the ‘Assign’ link at the bottom of the window.

The users have now been assigned training and will be notified of the assignment via email.

Each Requirement in REPORTER has a course or courses associated to them. When you assign a requirement, you are tell users they are required to complete the courses associated to a requirement.

As a Compliance Admin, you are able to assign any user in REPORTER as required to complete a training or set of training. In order to assign a course as required, you must be a compliance admin for the requirement associated with the course.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Compliance Administration’ section and click the ‘Manage Assignments’ link
  3. You will be brought to a list of requirements that you are a compliance admin for; double click on the requirement you wish to assign
  4. You will then be brought to a report of all of the users currently assigned; select the green ‘Assign’ button to assign new users
  5. A search window will open. On the left you have search results and on the right is the users you have selected. You can either upload a spreadsheet using the provided template (only fill out one column) OR you can search for users. If you are search for users, double click on search results to select them
  6. Your selected users will show on the right of the screen. Once you have selected everyone you wish to assign, select the blue ‘Assign’ button

You will see a popup confirming that the users were assigned. Additionally, all assigned users will receive an email notifying them of the assignment.

Each Requirement in REPORTER has a course or courses associated to them. When you assign a requirement, you are tell users they are required to complete the courses associated to a requirement.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Compliance Administration’ section and click the ‘Manage Assignments’ link
  3. You will be brought to a list of requirements that you are a compliance admin for; double click on the requirement you wish to assign
  4. You will then be brought to a report of all of the users currently assigned; select the green ‘Assign’ button to assign new users
  5. A search window will open. On the left you have search results and on the right is the users you have selected. You can either upload a spreadsheet using the provided template (only fill out one column) OR you can search for users. If you are search for users, double click on search results to select them
  6. Your selected users will show on the right of the screen. Once you have selected everyone you wish to assign, select the green ‘Assign & Register’ button
  7. After selecting Assign & Register the selected users will be assigned the requirement and receive an email notifying them of the assignment. You will also receive a popup confirming the users were assigned and allowing you to proceed with registration. To continue with registration, select Proceed With Registration, otherwise select Finished
  8. You will be brought to a page where you can see all of the available instances for each course in the requirement. You will select the green ‘Use Instance’ button next to the instance you wish to register the participants for. Everyone that you selected in the previous steps will be registered for the instances you select (assuming there are seats available). Note: If you need to view more details about the listed instances you can click on the instance title (in blue) to see more details.
  9. Once you have chosen the instances you want to register users for, select the ‘Register Assignees’ button at the bottom of the window

When the registrations finish processing, you will receive a popup confirming the registrations have completed. Users will be notified of their registration(s) via email confirmation.

**In order to perform these actions, you must be a compliance admin for the requirement**
As a Compliance Admin, you have access to see a list of anyone who is registered for a course within a requirement, but who is not assigned to that requirement. This will allow them to see any users who may have registered for the course without being required to complete it.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Compliance Administration’ section and click the ‘Manage Assignments’ link
  3. You will be brought to a list of requirements that you are a compliance admin for;click on the requirement you wish to assign so it is highlighted in red
  4. Select the gray ‘View Registrants Not Assigned’ button
  5. You will see a section on the left for each course that makes up the requirement. In that section is a list of all users who have registered for any instance of the course but are not required to complete it. You can export these lists, search within them, and filter to use the ‘Select All’. If you wish to assign any of the registered users to the requirement, click to highlight the desired users in red (or use select all), and click the Add button.
  6. The selected users will show on the right side of the screen; once you have selected everyone you wish to assign, select the blue ‘Assign’ button

Once the process completed, you will be brought back to your list of requirements.

How do I remove someone’s training requirement/unassign them?

**In order to perform these actions, you must be a compliance admin for the requirement**

If a person is no longer required to complete a certain training, a compliance admin for the requirement can unassign it. This means they are no longer required to complete the courses per that requirement (they may still need to complete the courses for another requirement). Unassigning a user will remove the requirement including turning off the due date and associated emails. They are notified via email that the requirement has been removed.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Compliance Administration’ section and click the ‘Manage Assignments’ link
  3. You will be brought to a list of requirements that you are a compliance admin for; double click on the requirement you wish to assign
  4. You will then be brought to a report of all of the users currently assigned; locate the user who you wish to unassign and click to highlight them in red (you can also select multiple users at once)
  5. Once you have selected the user or users you wish to unassign, select the ‘Unassign – Send Email’ button

Users will be notified via email that they are no longer required to complete the requirement.

How do I pull reports for a course that is not required?

**In order to perform these actions, you must be a course admin for the course**
As a Course Admin. you have access to see registration and completion records for specific instances of the courses you administer. Follow the steps below to locate the roster of an instance.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Course Management’ section and click the ‘Course Search’ link
  3. You will be brought to a list of courses that you are a course admin for — double click on the course you are interested in
  4. Select the ‘Instances’ tab
  5. Double click on the instance you want to see registrants for. The instances will be sorted based on status (Active, Inactive, Closed, Canceled), if you do not see the instance you are looking for, check under the other tabs.
  6. Select the ‘Roster’ tab

Here you will see a list of all users registered for that instance. You can click the ‘Show’Hide Search Fields’ button to open search fields that will help you further filter the report.

**In order to perform these actions, you must be a course admin for the course**
As a Course Admin. you have access to see all registration and completion records for courses you administer. Follow the steps below to view the registration information related to a specific course.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Course Management’ section and click the ‘Course Search’ link
  3. You will be brought to a list of courses that you are a course admin for — double click on the course you are interested in
  4. Select the ‘Manage Participants’ tab

Here you will see a record for every registration to the course. Each record will show the name of the user registered, list the date and ID for the instance they are registered for, and include their completion date if they have completed. At the top of the page you can also select the ‘Show/Hide Search Fields’ button to filter the report. You can filter on things such as OUC (department) and time period; so for example, you could search by your department during march 2017.

As a Supervisor, you are able to view training summaries for anyone listed as a report in the H/R Peoplesoft system. If you are set up as a Participant Liaison, you will be able to perform the same actions for anyone under the division you are a liaison for. The training summary will include completion records for any courses the user is required to take or that you have recommended to them. Below are the steps for accessing theses summaries.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. In the left side menu, expand the ‘Participant Management’ section
  3. Select the ‘Training Summary’ link
  4. Search for the user you wish to view the training summary for
  5. Click the ‘View Summary’ button next to the desired user

This will open that user’s training summary. As a Supervisor, you will only see completion records for courses that the user is required to take. If you are also a course admin, you will see completion records related to courses you administer. Participants can access their personal training summary with complete records via these instructions.

How do I pull reports related to Required Training?

As a Compliance Admin, you have access to view reports for certain required training. You will be able to view, per requirement, all of the users required to complete the required course(s) and other details.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Reports’ section and click the ‘Compliance Reports’ link
  3. You will see a list of requirements you are an admin for and some summary numbers associated to the users who are required to complete the training
  4. Click on the requirement you want to see the full compliance report for so it is highlighted in red
  5. Select the ‘View Details’ button

This will open the compliance report for the requirement. If you click on the requirement name, you will also be able to see the details of the requirement, including which courses are required. For more details about the compliance report fields, view this help document.

As a Compliance Admin, you have access to view reports for certain required training. You will be able to view, per person & per course, who has been unassigned from a requirement.

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Reports’ section and click the ‘Compliance Reports’ link
  3. Select the second tab labeled ‘Compliance by Participant’
  4. Search on desired terms. For example, you could select a requirement name from the dropdown
  5. Double click on the ‘Compliance Status’ column. Any users with a blank status (also marked as inactive), are unassigned user.

As a Compliance Admin, you have access to view reports for certain required training. Per the steps below, you will be able to see, per person and per course, what training is required by a user or set of users

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Reports’ section and click the ‘Compliance Reports’ link
  3. Select the ‘Compliance by Participant’ tab
  4. Enter search terms for your user and ‘Search’

The compliance records will display under the search fields. You will see a line for every course the users is required to complete that you are a Compliance admin for, and you can export the report.

As a Compliance Admin, you have access to view reports for certain required training. Per the steps below, you will be able to see, per person and per course, what training is required by a user or set of users

  1. Log into REPORTER using the Unity ID Login option at go.ncsu.edu/reporter
  2. From the left side panel, expand the ‘Reports’ section and click the ‘Compliance Reports’ link
  3. Select the ‘Compliance by Participant’ tab
  4. Locate the OUC search field and enter your OUC
  5. Select the ‘Search’ button, or hit enter

The compliance records will display under the search fields. You will see a line for every course the users is required to complete that you are a Compliance admin for, and you can export the report.
